What is an invoice?
An invoice is the document a seller sends a buyer to ask for payment. It records who supplied what, to whom, on what date and for how much, and it is the paper trail both sides rely on for their accounts and their taxes.
What an invoice should include
- Your business name, address and contact details, plus your tax or registration number if you have one.
- The client’s name and billing address.
- A unique invoice number, the invoice date and the date payment is due.
- One line for each product or service, with a quantity and a rate.
- Any discount, tax and shipping, and the total to pay.
- How to pay: bank details, a payment link or the methods you accept.
How to use the invoice generator
- Enter your details and your client’s. Add a logo if you have one.
- Add a line for each item. The amount for every line and the total are worked out for you.
- Set discount, tax or shipping if they apply, and note your payment terms.
- Choose Print / Save as PDF. In the print window pick “Save as PDF” as the printer to get a file you can email.
Good to know
- Number invoices in sequence and never reuse a number; tax authorities expect a gapless series.
- State a clear due date. “Due in 14 days” gets paid sooner than “due on receipt”.
- What you type is saved in this browser so you can come back to it. It is not stored on any server.
Frequently asked questions
Is this invoice generator free?
Yes. There is no charge, no sign-up and no watermark on the invoice.
How do I save the invoice as a PDF?
Press Print / Save as PDF, then choose “Save as PDF” (or “Microsoft Print to PDF”) as the destination in the print window. Only the invoice is printed, not the rest of the page.
Can I add tax or VAT to the invoice?
Yes. Enter the rate in the Tax field and it is applied to the subtotal after any discount. If you need to show a tax number, add it under your business details.
Are my invoices stored anywhere?
Only in your own browser’s local storage, so the form is still filled in when you return on the same device. Clearing your browsing data removes it.
